Executive Assistant to the Founders

nnA Rising private equity firm is searching for a highly adaptable, motivated, and execution-oriented Executive Assistant.

This EA will be responsible for executing administrative duties and special projects that support the Founders The ideal candidate is self-directed and autonomous is capable of managing a varied workload and can prioritize the day-to-day against the bigger picture.nn nn n nn nn*This company is currently remote and will be back in office full-time in June, where all safety standards will be followed.nn nn Responsibilities nn Provides a wide range of complex office administration and support to the firm’s Founders using independent judgment and initiative.

Reviews assess, routes, answers, and monitors follow-up action steps on the correspondence which includes (phone calls, emails).

Manage CRM database.

Answers and routes phone calls, mail, and e‐mail messages and may handle wide‐range information dissemination.

Filing and retrieving corporate records, documents, and reports.

Prepare documents and making any other necessary arrangements for board, committee, and meetings.

Coordinates events, including conferences, dinners, etc.

Greeting visitors, making cold calls and deciding if they should be able to meet with executives.

Manages complex calendars arrange for meetings, appointments, and travel arrangements.

Maintain confidentiality of highly sensitive information.

Reviewing and submitting partner expense reports.

nn n nn nn Requirements nn Team player and possess a strong sense of urgency.

Results-oriented, financial thinkers with a high degree of energy and integrity.

Must be able to quickly gain an understanding of the business, people, and culture.

Will function well in a “hands-on,” entrepreneurial environment and be willing to roll up their sleeves to get things done.

Adapt easily to shifting priorities, be flexible and resilient, and not rigid in their thinking.

Proven experience as an executive assistant or other relevant administrative support experience.

Ideal candidates will have at least 10 years of experience.

In‐depth understanding of the entire MS Office suite and CRM systems.

Ability to organize a daily workload by priorities.

Must be able to meet deadlines in a fast‐paced quickly changing environment.

A proactive approach to problem‐solving with strong decision‐making skills.

Professional level verbal and written communications skills.

Willingness to be available outside of business hours as necessary.

Cheerful spirit and a good sense of humor.

Patient and flexible.
